Free Deferred Revenue Schedule Template (Excel)

This free deferred revenue schedule template runs in Excel and Google Sheets. Enter the contract amount and term, and monthly recognition, cumulative revenue recognized, and remaining deferred balance calculate automatically each month, following straight-line ASC 606 recognition for simple fixed-fee contracts.

What's in the deferred revenue schedule template

The workbook has two tabs. Contract Setup holds the contract name, total contract amount and term in months - monthly recognition (amount divided by term) calculates automatically from those three inputs.

Recognition Schedule is a 60-month table. Label each row Month 1, Month 2, and so on: monthly recognition pulls from Contract Setup, recognized-to-date carries forward from the row above, and deferred balance is the contract amount minus recognized-to-date.

Because recognized-to-date cascades row by row instead of being recalculated independently each month, the schedule always reconciles - recognized-to-date plus deferred balance equals the total contract amount on every single row.

Why a standalone free file beats the platform-gated alternatives

Several SaaS revenue-recognition platforms offer a deferred revenue template, but only as a lead-in to their paid software - the file itself is often a teaser rather than something you can use on its own long-term.

This template is a self-contained Excel and Google Sheets file with no platform dependency: no login, no data pulled from a connected system, no upgrade prompt embedded in the schedule. What you download is what you use.

It won't replace a full subscription-billing platform if you're managing hundreds of contracts with usage-based or multi-element pricing - but for straight-line recognition of a handful of fixed-fee contracts, it does the whole job.

Straight-line recognition versus multi-element ASC 606 contracts

This template assumes straight-line recognition: one contract, one flat monthly amount, recognized evenly over the term. That covers a large share of simple SaaS and service contracts.

It does not handle multi-element arrangements (bundled software plus implementation plus support recognized on different timelines), usage-based fees, or contract modifications mid-term - those require allocation logic beyond a single schedule and should go through your accounting system or your accountant.

If your contract is a flat fee over a fixed term, this schedule gives you the exact monthly numbers for your journal entries. If it's more complex than that, use this as a starting point and confirm treatment with your accountant.

Who this template is for

Bookkeepers, controllers and founders at small SaaS or service businesses who need to recognize revenue from a fixed-fee, fixed-term contract correctly instead of booking the full amount as revenue on the invoice date.

It's a working schedule you can hand to your accountant or reference directly for your monthly close - not a substitute for their sign-off on your revenue recognition policy under ASC 606.

How to use it

  1. On Contract Setup, enter the contract amount and term in months - monthly recognition calculates automatically.
  2. On Recognition Schedule, label each row Month 1, Month 2, etc. - recognized-to-date and deferred balance calculate automatically.
  3. Use the summary totals for your monthly revenue recognition journal entry.

Frequently asked questions

Does this handle multi-element or usage-based contracts?

No. This template covers straight-line recognition for a single fixed-fee, fixed-term contract - one flat amount recognized evenly over the term. Multi-element and usage-based arrangements need allocation logic beyond a single schedule.

Can I use this in Google Sheets?

Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. Contract Setup and the Recognition Schedule keep working exactly the same.

Why does recognized-to-date carry forward instead of just multiplying month number by monthly recognition?

The row-by-row cascade (this month's recognized-to-date equals last month's recognized-to-date plus this month's recognition) is what keeps the schedule internally consistent even if you skip or duplicate a month label.

How many contracts does one file track?

One contract per file. If you're tracking several contracts, duplicate the whole workbook per contract, or use a spreadsheet tool built for multi-contract schedules.

Is this a substitute for my accountant's ASC 606 review?

No. This gives you the mechanical monthly numbers for straight-line recognition - always verify your final revenue recognition treatment and disclosures with your accountant.

What's the usage license?

Personal use or use within one business. It's not meant to be resold or redistributed as a template product.
