Free Leaderboard Template (Excel)
What's in the leaderboard template
The template is a single Leaderboard table with one row per participant and five round columns for scores. As you enter a score in any round, it counts toward that participant's total.
Total sums all five rounds for a participant, and Rank calculates how many participants scored higher, so the leader always shows rank 1 without you sorting anything. The top 3 ranks are highlighted so the podium stands out even in a long list of participants.
It's built generically enough to reuse for a sales contest, a fitness challenge, team points, or a game night — the columns are just 'Round 1' through 'Round 5,' not tied to one specific activity.
How rank calculates without sorting
The Rank column counts how many other participants have a strictly higher total, then adds one — so the highest total always shows rank 1, the next-highest shows rank 2, and so on, recalculating live every time any score changes.
This means you always see an accurate rank for every participant in whatever order the rows happen to be in — you don't need to re-sort the sheet just to know who's leading.
About sorting the list into rank order
The Rank column tells you each participant's position, but it doesn't physically reorder the rows into 1st-to-last order by itself — the rows stay in whatever order you entered them.
If you want the list to actually display top-to-bottom in rank order, use Excel or Google Sheets' own Data > Sort feature on the Rank column whenever you want that view. It's a quick manual step, not something the template does for you automatically.
Who this leaderboard template is for
Sales managers running a short contest, gym owners or coaches tracking a fitness challenge, team leads awarding points, or anyone organizing a multi-round game night who wants scores and standings to update themselves instead of doing the math by hand each round.
Because the columns are generic round labels rather than sport- or contest-specific fields, the same file works across very different use cases without any rebuilding — just relabel the rounds to match your event.
How to use it
- Enter each participant and their scores per round - totals and ranks calculate automatically.
- Top 3 ranks highlight so the podium is obvious at a glance.
- Use Data > Sort on the Rank column whenever you want the list displayed in podium order.

Frequently asked questions
Can I use this leaderboard template in Google Sheets?
Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. The total and rank formulas keep working.
Is this template really free?
Yes. You give an email address to download it, and then it's yours to use with no further cost.
Does the list automatically sort into rank order?
No. The Rank column calculates each participant's position, but the rows stay in the order you entered them. Use Data > Sort on the Rank column to display the list top-to-bottom in podium order.
How many participants and rounds can it hold?
Up to 50 participants across 5 rounds of scores per participant.
Can I use this for something other than sales?
Yes. The round columns are generic, so the same file works for fitness challenges, team points, classroom contests, or game nights — just relabel the rounds to match your event.
