What's in the office seating plan
The Seating Plan sheet lists up to 200 employees. For each one, enter their team and floor from dropdown lists, plus their desk or seat number.
Below the table, headcount totals automatically for every team (Sales, Engineering, Marketing, Support, Finance, Operations) and every floor (Floor 1 through Floor 4), plus a total count of employees assigned.
The Occupancy sheet has its own calculation: enter your total number of available desks, and occupancy rate - employees assigned divided by desks available - calculates automatically.
Who this is for
Office managers and HR teams planning or auditing desk assignments across departments and floors, without needing full floor-plan or facilities software.
It tracks the assignments you enter yourself - it doesn't detect double-booked desks automatically or sync with a badge or access-control system.
How to use it
- List each employee with their team, floor and desk number.

- On the Occupancy sheet, enter total desks available to see your occupancy rate.

Frequently asked questions
How is occupancy rate calculated?
Occupancy rate equals employees assigned (from the Seating Plan headcount) divided by total desks available, which you enter yourself on the Occupancy sheet.
What happens if I haven't entered a desk count yet?
Occupancy rate shows blank, not a divide-by-zero error, until you enter a total desk count greater than zero.
How many employees can this track?
Up to 200 employees on the Seating Plan sheet, each assigned a team, floor and desk.
Does this detect double-booked desks?
No. It totals the assignments you enter - it doesn't flag if two employees are assigned the same desk number.
Can I use this in Google Sheets?
Yes. Upload the downloaded file to Google Drive, open it, then choose File > Save as Google Sheets.
