What's in the QC inspection log template

The Inspection Log sheet tracks Date, Lot/batch #, Product, Inspector, Qty inspected, Qty defective, Defect rate, and Result, sized for up to 100 lots — enough for an ongoing production or receiving inspection program.

Each row is self-contained: enter the inspector and the counts, and the row tells you immediately whether that lot passed.

The Inspector column also builds accountability into the log by default — over time it becomes a simple record of who inspected what, useful if a defect is later traced back to a specific inspection.

What calculates automatically

Defect rate calculates from your quantity inspected and quantity defective on every row, and the Result column compares that rate to a pass threshold — set to a 2% defect rate by default — to mark each lot pass or fail.

The sheet also rolls up lots inspected and your overall defect rate across every lot, so you can see the bigger quality trend, not just one batch at a time.

Because the pass threshold lives in a formula rather than being applied by eye, every inspector applies the exact same cutoff — removing the inconsistency that creeps in when different people are deciding pass or fail by judgment call.

Why this beats a blank spreadsheet

Calculating defect rates by hand for every lot is slow and invites transcription errors, especially when someone on the floor is filling this out between inspections.

With the defect rate and pass/fail decision built into the row formula, inspectors get an instant, consistent answer — and you get an overall defect rate rollup without a separate calculation.

Who this QC inspection log is for

Manufacturing and production teams doing lot-based sampling inspections are the core fit — anyone who needs to record inspection results by batch and track a defect rate against a known threshold, rather than a pass/fail checklist for a single unit.

It also suits receiving inspection at a warehouse or distribution center, where incoming lots from suppliers need to be logged and defect rates tracked over time to flag suppliers whose quality is slipping.

Quality managers who need a simple rollup for management reporting — lots inspected and overall defect rate — get that summary without building a pivot table, which makes this a reasonable starting point before investing in a dedicated QMS.

It's also a practical fit for smaller manufacturers that are audited by a customer or a certification body but don't yet run a full quality management system — this log gives you a documented, timestamped inspection trail without a software purchase.

How to use it

  1. Open the Inspection Log sheet and log the date, lot/batch number, and product for each inspection.
  2. Enter the inspector name, quantity inspected, and quantity defective.
  3. Defect rate and the pass/fail result calculate automatically for that row.
  4. Adjust the pass threshold formula (2% default) if your AQL is different, and check the overall defect rate rollup.
