What's in the employee exit checklist

The file has two sheets. The Offboarding Log records each departing employee — name, department, manager, last day, reason for leaving, and a status of In progress or Complete.

The Exit Checklist sheet comes pre-filled with 15 standard offboarding tasks: collecting the laptop, phone, badge, keys and company card; revoking email, VPN and SaaS accounts; removing the employee from payroll and benefits; transferring file ownership; updating the org chart; scheduling and conducting the exit interview; processing the final paycheck and PTO payout; sending COBRA notices; and confirming a forwarding address.

For each task you enter an owner, a due date, and whether it's done — the sheet flags anything overdue automatically so nothing slips through during a departure.

How the checklist works for multiple employees

The 15-task block is a template you duplicate per departing employee: copy the block, put the new employee's name against each of their 15 rows, and set fresh due dates. That keeps every departure's tasks in one continuous sheet rather than a separate file per person.

This is a global count of tasks done and overdue across everyone in the sheet, not a completion percentage broken out employee by employee — if you need to know exactly where one specific departure stands, scan that employee's block of 15 rows directly.

What flags automatically

A task shows OVERDUE the moment its due date has passed and it isn't marked Done — that's the only condition the flag checks, so it updates live as you mark tasks complete or as due dates pass.

The summary counts total tasks done and total tasks overdue across the whole sheet, giving HR a quick read on how well offboarding is being kept current without opening every row.
