Free Excel Gradebook Template (No Macros Required)

This free gradebook calculates each student's weighted average across five categories (Homework, Quizzes, Tests, Projects, Participation), converts it to a letter grade automatically, and shows a class average plus a grade-distribution count - all with plain formulas, no macros or VBA. Free for personal, tutoring or school-wide use.

What's in the gradebook template

The workbook has two tabs. Categories holds the five weight cells (Homework, Quizzes, Tests, Projects, Participation), defaulting to an equal 20% each so they sum to 100% - change any of them to match your syllabus.

Gradebook is a 30-row student list: enter each student's average score (0-100) per category, and the Weighted average and Letter grade columns calculate automatically, along with a class average and a count of students per letter grade underneath.

No macros, no 'Enable Content' prompt, and no VBA anywhere in the file - a real gap versus Microsoft's 2011-era template, which requires enabling macros just to print a student progress report.

One file for weighted grading - not four separate downloads

Vertex42, the strongest free competitor, splits this same need across four separate files - a percentage-system workbook, a points-system workbook, a GPA workbook, and a still-labeled-BETA weighted-assignment-types file. This template does weighted category grading in one file, with the weighting formula visible and editable, not hidden inside a beta feature.

The weighted average uses SUMPRODUCT across each student's category scores and the category weights, divided by the sum of the weights - so the math still works correctly even if your weights don't add to exactly 100%.

Class average and grade distribution

Below the student list, the summary block shows the class average and a live count of how many students landed in each letter grade (A through F) - computed with COUNTIF, not a manual tally.

Super Teacher Worksheets' free gradebook computes flat per-subject averages only, with no distribution view and no assignment-category weighting at all - this template covers both in the same file.

Who this template is for

Teachers who want weighted-category grading (homework vs. quizzes vs. tests vs. projects) without opening four separate files or enabling macros, and without a license that restricts use to classroom-only.

It's free for any use - personal, a private tutoring business, or a school-wide rollout - unlike Vertex42's explicit 'Educational Use only - not for distribution or resale' license.

How to use it

  1. Set your five category weights on the Categories sheet (defaults to equal 20% each).
  2. Enter each student's average score (0-100) per category on the Gradebook sheet.
  3. Weighted average and letter grade calculate automatically per student.
  4. Check the class average and grade-distribution counts in the summary below the student list.

Frequently asked questions

Do I need to enable macros to use this gradebook?

No. Every calculation - weighted average, letter grade, class average, grade distribution - uses standard formulas. No macros, no VBA, no 'Enable Content' prompt.

What if my category weights don't add up to exactly 100%?

The weighted average formula divides by the sum of your weights, so it still calculates correctly even if your weights total something other than 100%.

What are the letter grade cutoffs?

A is 90 and above, B is 80-89.9, C is 70-79.9, D is 60-69.9, and F is below 60. You can edit the formula in the Letter grade column if your school uses different cutoffs.

Can I use this for a tutoring business or sell grading services with it?

Yes. It's free for any use - personal, tutoring business, or school-wide - with no 'educational use only' restriction.

Can I use this in Google Sheets?

Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. The weighted-average and letter-grade formulas keep working.

Is this template really free?

Yes. You give an email address to download it, and then it's yours to use with no further cost.
