What's in the group travel planner

The workbook has two sheets. Travelers lists everyone going on the trip with their arrival, departure, room or share, trip cost, what they've paid, and what they still owe. Itinerary lists the shared plan — day, date, activity, location, and group cost per activity.

Together the two sheets answer the two questions a trip organizer actually needs answered: who still owes money, and what's the plan for each day.

What calculates automatically

On the Travelers sheet, the balance column updates the moment you enter a trip cost and a paid amount, so you never have to subtract by hand across a dozen names. The summary rolls that up into total travelers, total collected, and what's still outstanding.

On the Itinerary sheet, shared costs total automatically as you add activities, so you can see the group's per-person cost implication as the plan fills in.

Why this beats a blank spreadsheet or a group chat

Chasing payments and itinerary changes through a group chat gets messy fast once you're past four or five travelers — someone always asks 'wait, did I pay?' A blank spreadsheet fixes that but means building the balance formulas and itinerary layout yourself.

This template already has both sheets structured with working formulas, so you spend your time filling in names and plans, not building the tracker.

How to use it

  1. Add each traveler to the Travelers sheet with their dates, room/share, and trip cost.
  2. Log deposits and payments as they come in — the balance column updates automatically.
  3. Build the shared plan on the Itinerary sheet: day, date, activity, location, and group cost.
  4. Check the summary rows for total collected and outstanding at any time.

Can I use this group trip planner in Google Sheets?

Yes. Upload the file to Google Drive and open it with Sheets — File > Save as Google Sheets preserves the formulas.

Is this spreadsheet really free?

Yes. You provide an email address to download it, and then it's yours to reuse for any future trip at no further cost.

How many travelers can it handle?

The Travelers sheet is set up for 40 rows, which covers most group trips; you can extend it further if you're organizing something larger.

What's the usage license?

Personal use or use within one business (for example, a travel organizer running trips for clients). It isn't meant to be resold as a template product.

Does it split costs per person automatically?

It totals shared costs on the Itinerary sheet and tracks each traveler's individual trip cost and balance on the Travelers sheet, but per-person division of a shared activity cost is a manual entry.

Can I use it for a family trip instead of a large group?
