What's in the recruitment dashboard
The template is a single Candidate Pipeline sheet built to hold up to 200 candidates. Each row captures the candidate name, the role or requisition, department, source (job board, referral, LinkedIn, agency, career site, or other), current stage, and the dates applied and hired.
Stage is a dropdown running Applied, Screened, Interviewed, Offered, Hired, or Rejected, so every candidate's status stays consistent across the sheet - no free-text stage names that don't match when you try to count them later.
A summary block below the table rolls the whole pipeline up into counts by stage, hire rate, average time to hire, and how many hires came from referrals, so you get a dashboard view without building a single pivot table.
What calculates automatically
Time-to-hire computes per candidate the moment you fill in both the date applied and date hired - it's the gap in days between the two, and it stays blank until both dates are entered so you never see a false zero.
The summary counts candidates at each stage (Applied, Screened, Interviewed, Offered, Hired) with COUNTIF formulas that reread the table live, so the numbers update the moment you change a candidate's stage. Hire rate divides hires by total candidates logged, and average time to hire averages every filled-in time-to-hire value.
Conditional formatting highlights Hired rows in green and Rejected rows in red, so scanning a 200-row pipeline for where things stand takes seconds rather than a manual filter each time.
Talent acquisition templates without the paid dashboard
Most recruitment or talent acquisition dashboard templates on the market are sold as paid Excel add-ons or require a step-up to a paid tier to see hiring metrics beyond a basic candidate list. This template puts pipeline tracking, source tracking, and hire-rate metrics in one free workbook.
If what you're after is a talent acquisition tracker specifically - who applied, where they came from, and how they're progressing - this same sheet covers that without a separate template: the Source column and its count in the summary answer exactly that question.
What this dashboard doesn't do
There's no funnel chart visualizing conversion between stages - the stage counts are in the summary table as numbers, not as a funnel graphic. If you want a visual funnel, you'd build a chart off the stage-count cells yourself.
It also doesn't calculate cost-per-hire. That needs recruiting spend data (job board fees, agency fees, recruiter time) this template doesn't collect, so we didn't fake a formula for it. If cost-per-hire matters to your reporting, track spend separately and divide by the Hired count from this sheet.
How to use it
- Log every candidate with their role, department, source, and current stage.
- Enter the date applied, and the date hired once they're hired - time-to-hire calculates per candidate.
- Update Stage as candidates move through Applied, Screened, Interviewed, Offered, Hired, or Rejected.
- Check the summary for stage counts, hire rate, average time to hire, and referral hires.

Can I use this recruitment dashboard in Google Sheets?
Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. Time-to-hire, stage counts, and hire rate keep calculating.
Is this template really free?
Yes. You give an email address to download it, and then it's yours to use with no further cost.
Does it include a funnel chart?
No. Stage counts appear as numbers in the summary table, not as a funnel visualization. You can build a chart off those cells if you want one.
Does it calculate cost-per-hire?
No. Cost-per-hire needs recruiting spend data this template doesn't track, so it's not included. Log spend separately and divide by the Hired count in the summary.
