What's inside the rent ledger template
The template is a single Ledger sheet with 200 rows, enough to log a full year of activity across several units. Each row records a date, tenant, unit, a Charge ($) amount, a Payment ($) amount, a running Balance due ($), and a Note field for anything worth flagging.
You log one row per rent event rather than one row per month — a charge when rent comes due, a payment when it's received — so partial payments, late payments, and multiple payments in the same month all show up as their own line instead of getting collapsed into a single monthly figure.
What calculates automatically: running balance and totals
The Balance due ($) column keeps a running total per row order as you log charges and payments — you enter the charge or payment amount, and the balance updates on its own. You don't need to track the running total in your head or in a separate note.
Below the ledger, the summary totals what's been charged, what's been received, and what's still outstanding, rolled up automatically from the same rows you're already logging. That's the number most landlords want at a glance without scrolling through every entry.
Why this beats a blank spreadsheet
A blank ledger means building the running-balance formula yourself and getting the row order right so it doesn't drift out of sync after a few months of entries. This template already has that formula built in, tied to the order rows are entered.
It also keeps charges and payments as separate line items rather than one net number per month, so if a tenant disputes a balance, you have a full event-by-event trail to point to instead of a single figure with no backup.
How to use it
- Enter one row per rent event: a charge when rent is due, or a payment when it's received.
- Pick the tenant and unit for each row.
- Enter the amount in the Charge or Payment column, in the order the events happened.
- Check the Balance due column and the summary totals — both update automatically.

Does this rent ledger work in Google Sheets?
Yes. Upload the file to Google Drive, open it, then choose File > Save as Google Sheets. The running balance formula carries over.
Is the rent ledger template free?
Yes. You give an email address to receive the download link, and the file itself has no cost.
Can I track more than one tenant or unit?
Yes. Every row has its own Tenant and Unit column, so you can log multiple tenants and units on the same ledger and filter or sort by either.
Does this replace a rent roll or full property management sheet?
