What's in the roles and responsibilities template

The Roles sheet is a directory: role or position, department, key responsibilities and who that role reports to, across 30 rows - useful as a standalone reference for org structure or onboarding.

The RACI Matrix sheet lists tasks or deliverables down the rows, with four columns for who is Responsible, Accountable, Consulted and Informed on each one, across 60 rows.

A sixth column checks each row automatically: if a task is listed but has no name in the Accountable column, it's flagged UNASSIGNED, and a counter beneath the matrix totals how many tasks are currently missing an accountable owner.

Roles and responsibilities vs. RACI

A roles and responsibilities document describes what each position or person generally owns. A RACI matrix is task-specific: for a given deliverable, who actually does the work (Responsible), who is answerable for it (Accountable), who gets consulted before it's finalized, and who just needs to be kept informed.

This file keeps both in one workbook rather than as two separate downloads, so you define the roles once on the Roles sheet and then apply them task-by-task on the RACI Matrix sheet.

Catching unassigned responsibilities

The most common RACI failure mode is a task with plenty of Consulted and Informed names but nobody clearly Accountable - which means nobody actually owns getting it done.

The UNASSIGNED flag and the accountability-gap counter surface that gap immediately instead of requiring you to scan every row by eye.

How to use it

  1. List every role or position once on the Roles sheet with its department, key responsibilities and who it reports to.
  2. On the RACI Matrix sheet, list each task or deliverable and name who is Responsible, Accountable, Consulted and Informed.
  3. Check the UNASSIGNED flag and the counter below the matrix, and fill in any missing Accountable owner.

Frequently asked questions

How does the UNASSIGNED flag work?

Each RACI Matrix row checks whether the Accountable column is empty for a task that's been named. If Accountable is blank, that row is flagged UNASSIGNED, and a counter below the matrix totals how many tasks are currently missing an accountable owner.

Is the RACI matrix a separate download?

No. The Roles directory and the RACI Matrix are two tabs in the same file, so you don't need to buy or download them separately.

How many tasks can the RACI Matrix hold?

60 rows out of the box. Copy the Unassigned? formula down further rows if you need more.

Do I need to sign up to download this?

No. It's a direct .xlsx download with no email gate.

Can I use this in Google Sheets?

Yes. Upload the file to Google Drive and choose File > Save as Google Sheets - the flag and counter keep working.
