Free Sports Team Budget Template (Excel)
What's in the sports team budget template
Team Budget logs up to 40 income and expense lines: income categories (player dues/registration, sponsorship, fundraising, other income) and expense categories (equipment, uniforms, facility/field rental, travel, referee/officials fees, tournament fees, other expense), each tagged Income or Expense.
Total income, total expenses, and balance calculate automatically using SUMIF against the Type column, so adding a new line item updates every total immediately without touching a single formula.
Cost Per Player is a linked tab: enter your roster size once, and cost per player (total expenses divided by number of players) calculates automatically and stays IFERROR-protected until you enter a roster size greater than zero.
Per-player and fundraising detail beyond the generic templates
The generic free sports team budget templates found in search results track total income against total expenses, full stop - no per-player cost breakdown, no expense-category detail beyond a single lump sum.
This template adds two things those generic versions skip: an expense category breakdown (equipment vs. travel vs. officiating vs. tournament fees, tracked separately) and an automatic cost-per-player calculation, so you know what each family's share of team costs actually comes out to.
It's built for a single season's budget for one team - if you're running fundraising drives with a specific dollar goal you're tracking against, log that as its own income category and compare it to your running fundraising total.
Who this template is for
Coaches, team parents, and club treasurers who need one place to track dues collected, sponsorship money, and every expense category for a youth or adult sports team - and who want an honest per-player cost number to share with families.
It's a planning and tracking spreadsheet - it doesn't collect payments, send invoices, or replace your organization's official financial reporting to a league or nonprofit board.
How to use it
- On Team Budget, log every income line (dues, sponsorship, fundraising) and expense line (equipment, travel, officials).
- Total income, total expenses and balance calculate automatically.
- On Cost Per Player, enter your roster size once - cost per player calculates automatically.

Frequently asked questions
How is cost per player calculated?
Total expenses (pulled automatically from Team Budget) divided by the number of players you enter on Cost Per Player. It's IFERROR-protected, so it stays blank until you enter a roster size greater than zero.
Can I use this in Google Sheets?
Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. Both tabs and every formula keep working.
How many income and expense lines does it support?
Up to 40 lines on Team Budget - add more rows if your season has more income or expense categories than that.
Does the Category dropdown control the income vs. expense totals?
No. Category is descriptive (dues, equipment, travel, etc.) - the Type column (Income or Expense) is what the SUMIF totals actually key off of, so make sure Type is set correctly on every row.
Can I track multiple teams or seasons in one file?
This tracks a single season's budget for one team - duplicate the sheet or the whole file for multiple teams or seasons.
What's the usage license?
Personal use or use within one business. It's not meant to be resold or redistributed as a template product.
