What this wedding planning spreadsheet includes

The file is organized into eight tabs: Instructions, Setup, Budget, Guest List, Seating, Checklist, Day-Of Timeline, and Dashboard. Setup is where you enter your wedding date, estimated guest count, and total budget once; those numbers feed every other tab automatically, so you are not re-typing the same figures across sheets.

Budget breaks your total down across eight standard categories (venue, catering, photo/video, attire, flowers, music, stationery, and miscellaneous) using percentage splits you can adjust. Dashboard: one page instead of scattered tabs

Most wedding spreadsheets we looked at, including well-known free templates, spread budget, guest count, and task status across separate tabs with no single view tying them together. This template's Dashboard tab is built to close that gap: it shows days until the wedding, budget remaining, percentage of guests confirmed, and percentage of checklist tasks completed, all calculated live from the other tabs.

Two native charts sit alongside those numbers: a ring chart for RSVP status (invited, confirmed, declined) and a bar chart comparing budget allocated versus budget actually paid, category by category. You do not build these charts yourself — they are already wired to your data and update as you fill in the sheet.

Seating chart with capacity and keep-apart alerts

The Seating tab supports up to 20 tables. For each table, it counts assigned guests automatically from the Guest List tab and flags an OVER CAPACITY alert the moment a table exceeds the seat count you set for it — no manual tallying.

It also includes a keep-apart zone: enter up to five name pairs (for example, two relatives who should not sit together), and the sheet flags an alert if both people in a pair end up assigned to the same table. This is a step beyond a simple auto-populated headcount table — it is a semi-automated check against seating conflicts before you print the final chart.

Nothing here requires macros or a script to run. The logic is built entirely from standard formulas, so it opens and calculates the same way in Excel and in Google Sheets.

How this compares to free wedding planning templates

Free wedding planning spreadsheets are genuinely useful for a basic checklist or guest list, and this template borrows the same core structure buyers expect: budget, guest list, checklist, vendor contacts, day-of schedule. Where it differs is in three specific mechanics that we did not find combined in any free template or low-cost Etsy listing we reviewed.

First, budget percentage splits that adjust based on your guest count and total, with the allocation math visible and editable — not a separate web calculator you have to cross-reference against your downloaded file. Several well-known free templates offer a budget breakdown tool, but only as an external website tool, disconnected from the spreadsheet itself.

Second, the seating chart goes beyond a manual drag-and-drop board or a simple auto-count: the capacity and keep-apart alerts described above run inside the sheet using your existing guest list data. Third, the Dashboard tab consolidates budget, guest, and task-completion status on one page instead of leaving you to flip between six or seven tabs to get a status update.

None of this is exotic technology — it's careful spreadsheet design using SUMIFS, COUNTIFS, and conditional formatting. The point is that it's already built and tested, so you spend your time entering wedding details instead of building formulas.

Excel and Google Sheets, no macros

You get two versions in your download: one built and tested for Excel, one built and tested for Google Sheets. Both use the same layout and the same formulas (SUMIFS, COUNTIFS, INDEX/MATCH, IFERROR, EDATE), so switching between the two doesn't change how anything behaves.

There are no macros and no VBA anywhere in the file. That's a deliberate choice: macro-based templates typically only work reliably in desktop Excel and often get blocked or stripped when opened in Google Sheets or Excel Online. This template works identically everywhere a spreadsheet app runs, including on a phone or tablet through the Google Sheets or Excel mobile apps.

Input cells you're meant to fill in are shaded pale yellow; everything else is protected so a stray keystroke doesn't break a formula. Every dropdown (RSVP status, table assignment, meal choice, task status) uses data validation, so entries stay consistent and the automatic calculations keep working correctly.
