What's in the accounts receivable template

The template is a single AR Ledger with 200 rows, built for one line per invoice: customer name, invoice number, invoice date, payment terms in days, the amount billed, and any amount already paid.

That's enough structure to run your whole receivables process from one tab instead of juggling a separate note for who's paid and who hasn't. Every invoice you're owed money on lives in the same list, sorted however you like by customer or by date.

A Collection notes column sits at the end of each row so you can log what happened on a follow-up call, a promised payment date, or a dispute, right next to the invoice it relates to.

Aging buckets: Current through 90+

The moment you enter an invoice date and payment terms, the template computes a due date automatically. From there, days overdue and the aging bucket update on their own: Current, 1-30, 31-60, 61-90, or 90+.

The summary block at the top totals your outstanding AR by bucket, so you can see at a glance how much of what you're owed is fresh versus how much is aging into risky territory.

Balances that slip into 61-90 or 90+ are flagged with conditional formatting, which makes the accounts that need a phone call today obvious without scanning every row.

What calculates automatically

Due date, balance due, days overdue, and the aging bucket assignment all calculate as soon as you enter the invoice date, terms, amount, and any payment received. There's no formula to write or drag down.

The only manual work is entering the invoice details themselves. Everything downstream stays correct as you add rows, mark payments, and update your collection notes.

AR ledger vs. AR KPI dashboard

Can I use this accounts receivable template in Google Sheets?

Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. The aging formulas keep working.

Is this template really free?

Yes. You give an email address to download it, and then it's yours to use with no further cost.

Does it show a chart of my AR by aging bucket?

Can I track more than one payment against an invoice?

Yes, the Paid ($) column accepts a running total, so partial payments reduce the balance due correctly as they come in.

Can I edit the layout and add my logo?

Yes, it's a standard Excel/Google Sheets file. Add a logo, change fonts, or adjust column widths as you like - just don't overwrite the formula cells in the computed columns.

What's the usage license?

Personal use or use within one business. It's not meant to be resold or redistributed as a template product.
