Free Accounts Receivable KPI Dashboard (Excel)
What's in the AR KPI dashboard template
The file has two tabs: an Invoice Data sheet where you log open invoices with the due date and balance, and a KPI Dashboard sheet that turns those numbers into three core metrics: DSO, percent of AR overdue, and AR turnover.
In Invoice Data, days overdue and an overdue flag calculate automatically per invoice, and the sheet totals your outstanding AR and overdue AR at the bottom. That's the raw data the dashboard is built from.
The KPI Dashboard is a clean input-and-result layout: you enter total AR, overdue AR, credit sales for the period, and the number of days in that period, and the three KPIs update instantly.
How the totals move from Invoice Data to the dashboard
This is important to know before you use it: the Invoice Data sheet does not link automatically to the KPI Dashboard. You read the Total AR and Overdue AR figures off the Invoice Data summary, then type them into the corresponding input cells on the KPI Dashboard tab.
That's a deliberate tradeoff for a free template - a couple of copy-paste steps each time you update, in exchange for a file that's simple to open and audit rather than one held together by cross-sheet formulas that are easy to break.
Once the totals are in, DSO, percent overdue, and AR turnover recalculate the moment you change any input, so refreshing the dashboard for a new period takes under a minute.
What this dashboard does and doesn't calculate
Built in: DSO (Days Sales Outstanding), the percent of your AR that's currently overdue, and AR turnover for the period. Those are the three metrics most small businesses actually check week to week.
Not included in this free version: a Collection Effectiveness Index (CEI), a bad debt ratio, and month-over-month trend charts. If your process needs those, you'll want a more advanced AR analytics setup - this template is intentionally focused on the DSO/overdue/turnover core.
As a rule of thumb, DSO under 45 days is healthy for most B2B businesses - use that as your benchmark once your own number is calculated.
KPI dashboard vs. AR ledger
This page is the analytics layer. If what you actually need day to day is a full invoice-by-invoice ledger with aging buckets (Current, 1-30, 31-60, 61-90, 90+) and collection notes per customer, the free AR ledger template covers that instead - and it's a natural companion to this dashboard.
Many businesses use both: the ledger to manage collections invoice by invoice, and this dashboard to report the headline numbers to an owner or lender.
How to use it
- Log open invoices in the Invoice Data sheet - aging and the overdue flag calculate automatically.
- Read the Total AR and Overdue AR totals from the Invoice Data summary.
- Copy those totals into the KPI Dashboard sheet and add your credit sales for the period.
- DSO, percent overdue, and AR turnover calculate instantly.

Can I use this AR KPI dashboard in Google Sheets?
Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. Both the Invoice Data and Dashboard sheets keep calculating.
Is this template really free?
Yes. You give an email address to download it, and then it's yours to use with no further cost.
Does the dashboard update automatically when I add an invoice?
The aging figures on the Invoice Data sheet update automatically. The KPI Dashboard, however, needs you to copy the updated totals into its input cells - there's no live link between the two sheets in this free version.
Does it include CEI or a bad debt ratio?
No. This free version calculates DSO, percent of AR overdue, and AR turnover only. Collection Effectiveness Index and bad debt ratio aren't built into this file.
Is this the same as your AR ledger template?
No, they're two different files for two different jobs. The AR ledger template tracks individual invoices with aging buckets and collection notes; this one summarizes AR health into three KPIs. They pair well together.
What's the usage license?
Personal use or use within one business. It's not meant to be resold or redistributed as a template product.
