Free Car Maintenance Log Template (Excel)
Built for one car owner, not a fleet
Vertex42, Xappex and Smartsheet all ship solid free vehicle maintenance logs - but they're single-vehicle, single-tab logs that record what you did, without calculating what's due next or what you've spent by category.
This template still tracks one vehicle per copy (the same as those templates), but adds the two things a personal car owner actually wants to see: when the next service is due, and where the money's going.
For a household with two or three cars, make a copy of the file per vehicle - each one keeps its own odometer-based schedule and its own cost totals.
How next-service-due and cost totals work
Next service due is a simple projection: your odometer reading plus the interval you entered for that service. It's mileage-based only - it doesn't handle date-based intervals like "every 6 months", so log by mileage for anything that follows a mile interval.
Enter the interval per row, since it differs by service type - an oil change might be every 5,000 miles, tires every 6,000. The summary below the table adds up total cost, plus separate totals for oil change, tire rotation and brake service, so you can see where your maintenance dollars actually go.
The highest odometer reading logged also shows in the summary - a quick way to confirm your log is current without scrolling through every row.
Who this template is for
Individual car owners who want to track their own vehicle's service history and costs without a subscription app or a dealer's service records being the only record.
It's a personal log, not a fleet management or business maintenance-scheduling tool - if you're tracking equipment or a commercial fleet, see the Fleet Management or Preventive Maintenance Schedule templates instead.
How to use it
- Log each service: date, odometer reading, service type, cost and the interval in miles.
- Next service due (by odometer) calculates automatically from your reading plus the interval.
- Check the summary for total cost and cost by oil change, tire rotation and brake service.

Frequently asked questions
Does this handle date-based intervals like 'every 6 months'?
No, only mileage. Next service due adds your interval (in miles) to your current odometer reading - it doesn't calculate a future calendar date.
Can I use this in Google Sheets?
Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. The next-service and cost formulas keep working.
Can I track more than one car in the same file?
The formulas are built per single vehicle. For a household with multiple cars, make a copy of the file (or just the sheet) per vehicle so each has its own odometer and cost totals.
Why don't oil change, tire rotation and brake service costs match my total?
The category totals only cover those three specific services. Battery, Inspection and Other are logged and included in your grand total, just not broken out as a separate summary line.
Is this for a personal car or a commercial fleet?
Personal, single-vehicle use. For a commercial fleet or equipment maintenance program, see the Fleet Management or Preventive Maintenance Schedule templates instead.
What's the usage license?
Personal use. It's not meant to be resold or redistributed as a template product.
