What's in the maintenance KPI dashboard

The template is a single KPIs sheet with one row per month: operating hours, downtime hours, and number of repairs, alongside the calculated MTTR, MTBF, and availability for that month.

There are 12 rows built in — one full year at a monthly level — plus a chart tracking availability across the months so you can see whether reliability is trending up or down.

What calculates automatically

MTTR (mean time to repair), MTBF (mean time between failures), and availability all calculate the moment you enter that month's operating hours, downtime hours, and repair count — no formulas to write yourself.

The year-to-date summary rolls those months into a YTD availability figure and a YTD repairs total, and the availability-by-month chart redraws automatically as you fill in new months.

Why this beats a blank spreadsheet

MTTR and MTBF are easy to get wrong in a blank spreadsheet — one miscalculated ratio and every downstream number, including availability, is off, and you won't necessarily notice.

This template has the MTTR, MTBF, and availability formulas already built and the chart already wired to the data. You enter three numbers per month and get a maintenance dashboard, not a set of formulas to debug.

How to use it

  1. Enter each month's operating hours, downtime hours, and number of repairs.
  2. MTTR, MTBF, and availability calculate automatically for that row.
  3. Check the YTD summary and the availability trend chart to spot reliability shifts across the year.

Frequently asked questions

Can I use this maintenance KPI dashboard in Google Sheets?

Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. The MTTR, MTBF, availability, and chart keep working.

Is this template really free?

Yes. You give an email address to download it, and then it's yours to use with no further cost.

Does this track individual assets or work orders?

No, it works at a monthly, fleet-level rollup — total operating hours, downtime, and repairs per month. For per-asset tracking you'd need a separate log feeding into these monthly totals.

What's the usage license?

Personal use or use within one business. It's not meant to be resold or redistributed as a template product.

Can I extend it past 12 months?

Yes, it's a standard Excel/Google Sheets file. Add rows for additional months — just extend the MTTR, MTBF, and availability formulas down and update the chart range to include the new rows.
