What Is a Car Sales Tracker Template
A car sales tracker is a single spreadsheet an independent dealer or small lot uses to log every vehicle from purchase or trade-in through resale - what you paid, what you spent getting it sale-ready, what it sold for, and what you owe in commission.
Instead of a separate inventory list, a separate sales log and a separate commission worksheet, this template keeps all three in one linked row per vehicle.
Free Car Sales Excel Template: What's Inside
The workbook is a single Inventory & Sales sheet, one row per vehicle, up to 150. Each row has stock #, vehicle description, purchase price, recon & fees, sale price, your commission rate, and a status dropdown.
Total cost, gross margin, commission and net margin all calculate automatically the moment you fill in a row - you never write a formula yourself.
Tracking New vs Used vs CPO Inventory
The status column is a dropdown - In stock, Pending sale, Sold, Wholesaled - so every vehicle's stage is consistent and filterable. Combine that with the free-text vehicle description field and you can track new, used, CPO, retail or wholesale units side by side in the same sheet.
That's a meaningful step up from generic template-farm spreadsheets, which typically offer a bare inventory list with no sales-stage or disposition tracking built in.
Commission Split & Margin Calculator
Commission is calculated on gross margin (sale price minus total cost), not on sale price - matching how most independent lots and consignment arrangements actually structure payouts. Net margin then subtracts that commission automatically.
Etsy sellers currently charge around $24 for an automated tracker with this kind of margin math, and nextgentemplates sells a separate paid KPI dashboard for sales and profitability - this template gives you inventory, sales tracking and commission split together for free.
Monthly Sales KPI Dashboard
Below the table, a summary rolls up vehicles sold, vehicles in stock, and total gross and net margin across every sold vehicle - calculated with COUNTIF and SUMIF against the status column.
It's a lightweight, always-current KPI view rather than a static report you'd have to rebuild manually every month.
How to use it
- List every vehicle: stock #, description, purchase price, recon & fees, sale price, commission rate and status.
- Total cost, gross margin, commission and net margin calculate automatically for every row.
- Mark each vehicle's status as it moves from In stock to Pending sale, Sold or Wholesaled.
- Check the summary below the table for vehicles sold, in stock, and total margin across sold units.

How many vehicles can this template track?
Up to 150 vehicles in the Inventory & Sales sheet.
Is commission calculated on sale price or margin?
On gross margin (sale price minus total cost), which matches how most independent lots and consignment deals actually pay out commission.
Does the margin rollup only count sold vehicles?
Yes. The total gross and net margin summary rows use SUMIF against the Sold status, so in-stock or wholesaled vehicles don't skew the totals.
Does this work in Google Sheets?
Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. Every formula carries over and calculates the same way.
Can I track new, used and CPO inventory in the same sheet?
Yes. Use the vehicle description field for the type and the status dropdown for sale stage - there's no separate sheet needed per inventory type.
What's the usage license?
Personal use or use within one dealership or lot. It's not meant to be resold or redistributed as a template product.
