Free Construction Material List Template (Excel)
What's inside the free construction material list template
One Materials sheet, up to 150 rows. Each row is a material: a trade category (Demolition, Concrete, Framing, Electrical, Plumbing or Finishes), a description, quantity needed, a waste percentage, unit price - and two columns that calculate for you: order quantity and line total.
The summary below the table shows a subtotal for each of the six categories plus a grand total for the whole materials order, all calculated with SUMIFS so re-sorting or filtering rows never breaks the totals.
How waste % turns quantity needed into an order quantity
Order quantity = Quantity needed x (1 + Waste %). Enter 100 units needed with a 10% waste factor and the sheet tells you to order 110 - no separate calculator, no manual rounding up by hand.
Line total = Order quantity x Unit price, so the dollar total you see already accounts for the extra material you're buying to cover waste, not just the bare minimum needed.
Material list vs. project budget: what this template doesn't do
This is a materials purchase list - it calculates what to order and what it costs, category by category. It doesn't track labor cost, budget-vs-actual variance, draw schedules or change orders; for that, a construction project budget template covers budget vs. actual spend across every cost category, not just materials.
It's also distinct from a bill of quantities, which typically breaks a full building down by measured work items for estimating and tendering rather than tracking a single job's material order and waste factor.
Who this template is for
Contractors, project managers and estimators who need a quick, formula-driven materials order list for a job - by trade category, with waste built in and totals that update as you add or edit rows.
Pair it with a project budget template if you also need to track labor cost and overall budget-vs-actual for the job.
How to use it
- Add one row per material: pick a trade category, describe the material, enter quantity needed and a waste %.
- Order quantity adds your waste % on top of quantity needed automatically.
- Enter your unit price - line total calculates itself.
- Check the summary for the subtotal per trade category and the grand total for the materials order.

How is order quantity calculated from waste %?
Order quantity = Quantity needed x (1 + Waste %). A 10% waste factor on 100 units needed orders 110 units.
Is this a construction budget template?
No. It's a materials purchase list - quantity, waste and cost per material. For budget vs. actual spend across labor and materials, use a construction project budget template instead.
Does it replace a bill of quantities?
No. A bill of quantities typically measures a whole building's work items for estimating and tendering; this template is a simpler materials order list with a waste factor for an active job.
Can I use this in Google Sheets?
Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. Category subtotals and the grand total keep working.
How many materials can I list?
The Materials sheet is built for up to 150 rows. For a larger order, add rows and extend the SUMIFS ranges in the summary.
