Free HVAC Invoice Template (Excel + Google Sheets)
What's inside the HVAC invoice template
The workbook has one Invoice sheet: header fields (your business, client, invoice number, invoice date, service address, technician) and up to 25 line-item rows for service and parts, each with a description, quantity and unit price.
Line totals calculate automatically as quantity times unit price. Below the table, subtotal, tax and a trip fee add up to a final total - enter your tax rate as a percentage and your trip or diagnostic fee as a flat dollar amount.
Where the invoice-generator SaaS tools in search results (InvoiceQuick, Jobber, Billdu, Invoicer.ai) require you to configure their online builder every time and gate the download behind a signup, this is a single downloadable file with the math already wired in - no login required.
Service calls, parts and diagnostic fees on one invoice
HVAC billing typically mixes a few different charge types on one job: a diagnostic or service visit, parts like a capacitor or refrigerant, and sometimes a trip fee. This template puts service and parts on the same line-item table - use the description to tell them apart (e.g. "Diagnostic visit", "Refrigerant recharge (per lb)", "Capacitor - 45/5 MFD").
The trip fee is a separate flat charge, added after the line-item subtotal but not itself taxed - enter 0 if you don't charge one for a given job.
Pairs with the HVAC Price Book
This invoice is the billing half of a two-part workflow: price your standard services and common parts once on the site's HVAC Price Book template, then bring those numbers over here to bill a specific job.
Keeping pricing and invoicing as separate files means you can update your price book seasonally without touching every open invoice, and still fill out invoices quickly using numbers you've already settled on.
Who this template is for
Independent HVAC technicians and small HVAC companies who want to bill a job quickly without opening a web-app account or re-entering the same catalog of services into a generic invoice generator every time.
It's a per-job invoice - for a full parts and labor price catalog to reference while filling this out, use it alongside the HVAC Price Book template.
How to use it
- Fill in your business, client, invoice number and dates.
- List every service and part as a line item - quantity and unit price - up to 25 rows.

Frequently asked questions
Where do I enter the trip or diagnostic fee?
In the recap section below the line items, as a flat dollar amount - it's a separate flat charge added after tax is calculated on the line-item subtotal - it is not itself taxed.
Can I list both service and parts on the same invoice?
Yes. Service and parts share one line-item table - use the description column to distinguish them, for example "Diagnostic visit" versus "Capacitor - 45/5 MFD".
How is this different from the HVAC Price Book template?
The Price Book is a catalog of your standard prices for services and parts. This invoice is for billing a specific job - price your catalog once, then use those numbers here.
Can I use this in Google Sheets?
Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. The line-item, tax and total formulas keep working.
How many line items can I add?
Up to 25 rows for service and parts combined.
What's the usage license?
