What's in the GMP audit checklist template

The template opens with 20 pre-filled checklist items spanning personnel hygiene and gowning, facility and equipment, batch record traceability, environmental monitoring, and documentation — the sections a food or pharma manufacturing self-inspection typically covers.

Each item gets a Pass, Fail, or N/A result plus a notes field for the specific finding. A second sheet is a CAPA log: finding, batch or lot number, corrective action, owner, due date, and status.

This is a self-inspection tool for internal audits between formal regulatory visits — not a substitute for a full regulatory inspection-readiness program.

How the audit score is calculated

The audit score is pass items divided by applicable items — N/A items are excluded from the denominator, so a section with several non-applicable checks doesn't get penalized. This is a flat overall score across all items you've marked, not a score weighted by section.

If your process needs some sections to count more than others — say, batch traceability weighted higher than documentation — you'd need to build that weighting in yourself; the template as shipped treats every applicable item equally.

Tracking corrective actions with the CAPA log

Every Fail should get a line in the CAPA log: what was found, which batch or lot it ties to, the corrective action, who owns it, and a due date. A status column tracks Open, In Progress, or Closed.

An overdue flag checks the due date against today's date and the status — if the due date has passed and the status isn't Closed, it marks the line OVERDUE, so nothing quietly falls off the list.

Who this GMP checklist is for

Food and pharmaceutical manufacturing QA teams running internal cGMP self-inspections between regulatory audits are the core fit — plant QA managers, food safety coordinators, and compliance leads who need a repeatable checklist rather than starting from a blank page each time.

Because it's a standard Excel/Google Sheets file, it's easy to run the same checklist monthly or quarterly and compare scores over time, without licensing an audit management platform.

How to use it

  1. Walk the 20 pre-filled checklist items and mark each Pass, Fail, or N/A, with notes on any finding.
  2. Check the audit score — pass items divided by applicable items — at the bottom of the checklist.
  3. For every Fail, add a line to the CAPA log with the batch/lot number, corrective action, owner, and due date.
  4. Review the Overdue column in the CAPA log regularly so open findings don't slip past their due date.

Frequently asked questions

Can I use this GMP checklist in Google Sheets?

Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. The scoring and overdue formulas keep working.

Is the audit score weighted by section?

No, it's a flat pass-rate score across all applicable items (N/A items are excluded). It doesn't weight sections like batch traceability more heavily than documentation.

Is this template really free?

Yes. You give an email address to download it, and then it's yours to use with no further cost.

Does this replace a regulatory inspection readiness program?

No. It's an internal self-inspection tool for tracking your own checklist and CAPA follow-up — it's not a substitute for a formal regulatory audit or inspection-readiness certification.

Can I add my own checklist items?

Yes, it's a standard Excel/Google Sheets file. Add rows for facility-specific items, just keep the Result column using Pass/Fail/N-A so the score formula still works.
