What the hourly invoice template covers

This is a pure hours x rate invoice: the Time Log sheet has one row per billable line - date, description, hours, and your hourly rate - with a line total that multiplies hours by rate the moment you enter both.

The Invoice Summary sheet takes those line totals, applies your tax rate, and shows the subtotal, tax, and total due, so you're not manually adding up a long list of lines before you send the invoice.

Up to 100 lines fit on the Time Log, which covers most single-invoice billing periods even for freelancers logging hours daily across a multi-week project.

Hours x rate vs. a flat-fee or itemized invoice

Not every invoice bills by the hour: a flat-fee invoice charges a single project price regardless of hours worked, and an itemized invoice with materials (like the Contractor Invoice template) splits labor from parts and supplies.

This template is specifically for time-based billing - freelancers, consultants, and anyone billing hours worked at an agreed rate - where the client wants to see exactly how many hours were logged and at what rate, not just a lump sum.

If your work mixes hourly labor with materials or parts, the Contractor Invoice template's two-section layout (labor and materials, each with their own math) is the better fit.

How the tax and total due calculate

The Invoice Summary sheet references your Time Log subtotal directly, so there's no copy-pasting a number between sheets - change an hours or rate entry and the subtotal, tax, and total due all update together.

Enter your tax rate as a percentage once, and it applies to the full subtotal - if you don't charge tax on your services, leave it at zero and the total due simply equals the subtotal.

Why this beats a blank spreadsheet or a SaaS generator

Vertex42's free hourly-rate invoice is a genuine standalone spreadsheet but handles a single flat rate line; this template gives you a full time log with as many hours x rate lines as one invoice needs.

QuickBooks, InvoiceSimple, and InvoiceMaker's 'hourly' templates are generators inside their own signup-gated web tool - you re-enter your hours into their interface rather than working in a spreadsheet you already own.

No signup, no account: download the file, fill in your hours, and the totals are already built in - in Excel or Google Sheets, wherever you already work.

How to use it

  1. Log every billable line on the Time Log: date, description, hours and your hourly rate.
  2. Line total calculates automatically as hours x rate for each row.
  3. On the Invoice Summary sheet, enter your tax rate.
  4. Subtotal, tax and total due calculate automatically from the Time Log.

Frequently asked questions

Can I use this hourly invoice template in Google Sheets?

Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. The line totals and summary formulas keep working.

How many billable lines does the Time Log hold?

Up to 100 rows - enough for most single-invoice billing periods. For a longer engagement, split the work across more than one invoice.

Can I bill multiple clients or projects with different rates?

This template is built for one client's invoice at a time. For different clients or hourly rates, use a separate copy of the Time Log for each.

Does it handle materials or parts, not just hours?

No, this template is hours x rate only. For labor plus materials with markup, see the Contractor Invoice template instead.

Is it free?

Yes, in exchange for your email address. It's yours to use afterward with no further cost.

What's the usage license?

Personal use or use within one business. It's not meant to be resold or redistributed as a template product.
