Free Sales Lead Tracker Template (Excel & Google Sheets)

This free sales lead tracker logs every lead with source, stage, deal value and next follow-up date, then flags any open lead as OVERDUE once its follow-up date has passed. A Dashboard tab rolls up lead count and value by source, plus count by stage. One ungated file, no CRM signup. Works in Excel and Sheets.

What's in the sales lead tracker

The workbook has two tabs. Leads is a 200-row log: one row per lead, with source, pipeline stage, deal value, next follow-up date and notes.

Dashboard shows lead count and total pipeline value broken out by source (Referral, Website, Cold call, Event, Social, Other), plus a rollup of how many leads sit in each stage (New, Contacted, Qualified, Proposal, Won, Lost).

Everything lives in one file - no separate downloads for 'basic tracker' versus 'pipeline view' versus 'dashboard', and no in-page signup wall before you can download it.

Overdue follow-up flags, calculated automatically

As soon as you enter a next follow-up date, the Follow-up status column checks it against today's date - any open lead (not Won, not Lost) with a follow-up date in the past shows OVERDUE.

That's the core gap in most free lead trackers: they give you a date field but leave it to you to remember to check it. This template does that check for you, every time you open the file.

Pipeline rollups by source and stage

Type a source name into the Dashboard sheet and you get its lead count and total deal value pulled automatically from the Leads sheet - useful for seeing which lead sources are actually worth your time.

The stage rollup underneath (count of New, Contacted, Qualified, Proposal, Won, Lost) gives you a one-glance funnel view without building a pivot table.

Who this template is for

Solo salespeople, freelancers and small teams who want to log leads and see overdue follow-ups and pipeline health in one file - no CRM account, no per-seat pricing, no capacity ceiling nudging you toward a paid tool.

If your pipeline grows past what one flat log can handle - deal-stage forecasting, win-probability modeling, stale-deal alerts across a team - our paid CRM & Sales Pipeline Tracker is built for exactly that next step.

How to use it

  1. Log every lead on the Leads sheet: source, stage, deal value and next follow-up date.
  2. Watch the Follow-up status column - it flags OVERDUE automatically once a date has passed on an open lead.
  3. Use the Dashboard sheet to see lead count and value by source, and lead count by stage.

Frequently asked questions

Does the overdue flag check leads I've already closed?

No. Follow-up status only evaluates leads that are still open - any lead marked Won or Lost never shows OVERDUE, regardless of its follow-up date.

Is there a limit on how many leads I can log?

The Leads sheet has 200 rows built in. Add more rows and copy the formulas down if you need more.

Does this push me toward a paid CRM signup?

No. This is the whole tool - no in-app trial wall, no 'switch to our CRM past X leads' messaging.

Can I use this in Google Sheets?

Yes. Upload the downloaded file to Google Drive, then open it and choose File > Save as Google Sheets. The overdue flag and dashboard rollups keep working.

Is this template really free?

Yes. You give an email address to download it, and then it's yours to use with no further cost.

What's the usage license?

Personal or single-business use. It's not meant to be resold or redistributed as a template product.
