What's in the paint schedule template

The template is a single Paint Schedule sheet, laid out as a table with one row per room and surface combination: walls, trim, ceiling, doors, or an accent wall can each get their own line for the same room.

Each row captures the brand, color name, paint code, sheen, and number of coats specified for that surface, alongside the area in square feet and the coverage rate of the paint you're using.

Because every surface has its own row, a single room with four different finishes (say, walls in eggshell and trim in semi-gloss) reads cleanly as four separate lines instead of being crammed into one cell.

How the gallons calculation works

Enter the area in square feet, the number of coats, and the paint's coverage rate in square feet per gallon, and the gallons needed for that line calculate instantly.

The sheet also totals gallons needed across every line into a single running total, so you can see the overall gallons to order for the whole job at a glance.

That total is a single combined figure, not broken out per paint code or brand - if you're ordering different paints for different surfaces, you'll read the per-line gallons and add up the ones that share a code yourself.

Tracking sign-off by room

A Done column next to each line lets you or your contractor mark a surface Yes once it's painted and signed off, and completed rows highlight so the schedule doubles as a punch list as the job progresses.

The summary counts how many lines are marked done against the total line count, giving you a quick completion snapshot without scrolling through the whole sheet.

Why this beats a blank spreadsheet

Building a room x surface paint matrix from scratch means re-typing the same brand, sheen, and coverage columns for every project and re-deriving the gallons formula each time square footage changes.

This template already has that structure in place: you fill in the paint details and square footage, and the math and layout are done for you.

Who this paint schedule template is for

Interior designers and painting contractors who need a documented finish schedule - not a repainting calendar - use this to specify exactly which paint, sheen, and coat count goes on every surface of a project.

It also works well for homeowners managing a multi-room repaint who want one reference sheet of colors and codes to hand a contractor or keep for touch-ups later.

How to use it

  1. Add one row per room and surface: walls, trim, ceiling, doors, or accent, each with its own paint details.
  2. Enter brand, color name, paint code, sheen, and number of coats for that surface.
  3. Enter the area in square feet and the paint's coverage rate - gallons needed calculate automatically.
  4. Mark each line Done as surfaces are completed and signed off, and check the running total gallons and completion count in the summary.

Frequently asked questions

Can I use this paint schedule template in Google Sheets?

Yes. Upload the downloaded file to Google Drive, open it, and choose File > Save as Google Sheets. The gallons formulas keep working.

Does it total gallons by paint code or brand?

No. It totals gallons across the whole schedule as one combined figure. If you need a subtotal for a specific paint code, add up the matching lines' gallons yourself.

Is this template really free?

Yes. You give an email address to download it, and then it's yours to use with no further cost.

Can I add more rooms or surfaces than the template has rows for?

Yes, insert additional rows in the same format and the gallons formula extends with them.

Is this a repainting maintenance calendar?

No. It's a documentation sheet for specifying paint, sheen, and coats per room and surface for a current job - not a schedule for when to repaint again.
