Free Wedding Checklist Template (Excel & Google Sheets)
What's in the wedding checklist template
The workbook has two tabs. Setup holds a single cell for your wedding date - that one cell drives every deadline on the Checklist tab.
The Checklist tab lists 45 pre-filled tasks covering venue, attire, vendors, paper (invitations, save-the-dates), ceremony/reception, budget/legal items and day-of logistics. Each task has a 'months before' value you can adjust, a calculated deadline, a status dropdown and a notes field.
This is a single, focused checklist file - it does not include a budget tracker, guest list or seating chart. If you want those in the same workbook as your checklist and timeline, our paid Wedding Planner Spreadsheet covers all of it in one file.
Auto-countdown deadlines from one date cell
Enter your wedding date once, and every task's deadline is calculated as that date minus (months-before x 30 days) - so a task set to '3 months before' always shows the right calendar date, even if you change your wedding date later.
Static printable checklists (Canva, most blog checklists) give you month labels like '3 months before' with no actual date - you have to do that math yourself, every time your date changes. This template does the date math for you, once, from a single cell.
Tracking status and percent complete by category
Every task has a Not started / In progress / Done status dropdown, and the summary block below the checklist counts tasks done and shows percent complete live - no manual tallying.
The Category column (Venue, Attire, Vendors, Paper, Ceremony/Reception, Budget/Legal, Day-of) lets you scan or filter by what's relevant this week, rather than scrolling a single flat list of 45 unsorted rows.
Who this template is for
Couples planning their own wedding who want one clean file that answers 'what's next and when' without opening a bundled 8-tab mega-workbook that also tries to handle your budget, registry and alcohol order in the same file.
If you later want your budget, guest list with RSVP tracking, seating chart with conflict alerts, and this same checklist and day-of timeline in a single connected dashboard, that's exactly what the paid Wedding Planner Spreadsheet adds.
How to use it
- Enter your wedding date once on the Setup sheet.
- Review the 45 pre-filled tasks on the Checklist sheet; adjust 'Months before' if a task needs to move earlier or later.
- Update Status as you complete tasks - percent complete updates automatically below the list.
- Use the Category column to focus on one area (vendors, attire, paper) at a time.
